Space Utilization Committee

The Space Utilization Committee promotes stewardship of all university space resources, including academic, auxiliary, and research spaces. The committee evaluates all space requests for the university's immediate and long-range space needs and proposes solutions to address those needs. The committee conducts its business in support of the University’s strategic goals and is governed by the University System of Maryland (USM) policies governing space utilization.

Purpose

  • To promote the efficient use of university space.
  • To foster a coordinated approach to addressing space needs across campus.
  • To ensure transparency and accountability in the space Utilization process.
  • To ensure that all requests for space, changes in occupancy, changes in room use, and changes in classrooms are authorized.
  • To ensure compliance with policies governing space usage.

Submittal Process

  1. Obtain permission from your department head/chair/dean/VP
  2. Email additional documents to spaceuse@coppin.edu
  3. Complete the Space Request Form

The Space Utilization Committee meets on the 3rd Tuesday of each month.

Review and Decision Process

The review and decision process is as follows:

  • The committee analyzes the space request and proposes option(s), based on information provided by the requester listed on the form and follow-up investigation by the committee members.
  • Option(s) are presented to the requester via email. If confirmed, the space management database will be updated to reflect the change.

NOTE: If a request needs additional approval, the Space Utilization Committee will present such requests to the Provost or President for further consideration.

Notification

The Chair of the Space Utilization Committee will issue the notification once a decision is made. Notification will be sent to the following:

  • Requester
  • Director/Department Chair and VP/Dean who authorized the request
  • Current occupant (if different from requester)
  • Office of Information Technology
  • Facilities Management
  • Research Administration (if research space is involved)

If a request is not approved, the Chair will notify the requester of this action and provide a brief description of why the request was not approved.
